Worksheet to take with you

A provider change is planned. Before handover, establish how existing data and documents will remain accessible.

Illustrative example, not a case assessment

The examples show one way to organize the information. Print the sheet and add your details on paper. No information is collected or stored here.

Location / date
  1. List your existing technology.

    Example

Existing equipment: identify Register A, the provider team and contract documents; document the planned change separately from a purchase decision.

    Your notes
  2. Data access

    Example

Handover trial: request an export from the old system and actually test access with the authorized person.

    Your notes
  3. Register notification

    Example

Events: record acquisition and decommissioning separately; have the resulting notification requirements assessed.

    Your notes

What you take away

A handover sheet with existing equipment, tested access paths and outstanding tasks. Do not equate data access and statutory retention with the end of a contract.

Still open / contact person

For your conversation

  1. List your existing technology.

An inventory shows which devices and contracts you already have. The draft alone does not establish a need to buy new equipment.

  2. Consider existing equipment

Check your existing setup first: TSE, receipts, data export and notification. Ask to see how corrections and cancellations remain traceable. The draft does not automatically mean buying new equipment.

  3. Data access

Transactions must be recorded in a traceable manner. Document with your provider how to access data and exports.

  4. Register notification

For electronic recording systems subject to notification, the general deadline is one month after acquisition or decommissioning. Check existing notifications and outstanding deadlines now. Have the serial number, TSE details and acquisition or decommissioning date ready, among other information.
